How fast should the call come?

What happens to a Bayut or Property Finder enquiry after the buyer taps Contact, why the first minutes decide it, the Dubai workflow that calls it back inside the rules, and the four numbers worth measuring.

The short answer

A portal enquiry is a person with a phone in their hand and a listing on their screen. The published research on web leads says the odds fall away within minutes, not days. In Dubai the call back has to happen inside the 09:00 to 18:00 window, from a number registered to your agency, after a Do Not Call Registry check, and with recording disclosed. Whether a portal enquiry counts as consent for that call is genuinely unsettled, and this guide says so rather than pretending otherwise.

The workflow that works is unglamorous: export, import, call within minutes during the window, qualify against six questions, book the viewing, hand the broker the recording. The rest of this page is the detail.

1. What happens after the buyer taps Contact

On Bayut, Property Finder and Dubizzle a buyer or tenant reaches an agency in one of three ways: a call to the number on the listing, a WhatsApp message, or an enquiry form. The form and the WhatsApp route produce what the industry calls a portal lead: the enquirer's name, a phone number, the listing reference and usually a one-line message. The portal notifies the agent, by email, an app notification or a lead dashboard depending on the portal and the plan, and from that moment the lead belongs to whoever calls first.

Three things are true of that lead that are not true of a cold list. The person chose the property. The person expects contact. And the person is, at that moment, probably still looking at competing listings, so the same enquiry may have gone to three agencies.

2. Why the first minutes decide the lead

Two pieces of published research are cited across this site because they are the two we can link to a primary source.

Both studies are about web leads in general, not Dubai property in particular, and both are older than the portals' current apps. We use them because the mechanism they describe is the one every broker recognises: the enquirer's attention is highest in the minutes after they wrote the message and decays from there. Vendor-published figures that claim a precise Dubai conversion uplift exist, but none we found traces to a primary source, so none appears here.

The practical reading is not "call within five minutes or lose". It is that response time is the variable a brokerage controls most directly, and the one most brokerages measure least.

3. The Dubai workflow that actually works

  1. Export. Pull the day's enquiries from the portal dashboard, or from the CRM the portal feeds, as a CSV or XLSX file. This is the step most agencies do once a day; the workflow works best when it runs every hour during the window.
  2. Import. Load the file into Lumaa. Duplicates against numbers already called are filtered; numbers on the Do Not Call Registry are screened out before anything is dialled.
  3. Call inside the window. Maya dials every new enquiry within minutes of import, between 09:00 and 18:00, from the agency's own registered UAE number. Enquiries that arrive overnight queue and go out when the window opens.
  4. Qualify. Six questions, approved by you in advance: budget, timeline, purpose (own use or investment), area, financing, and who decides.
  5. Book the viewing. When the lead is ready, Maya places the viewing directly on the broker's calendar and confirms it.
  6. Hand off. The broker receives the recording, the transcript and the structured answers, and walks into the viewing already knowing the conversation.

What the workflow does not include. There is no native Bayut, Property Finder or CRM connector; leads move by file. Nothing is dialled outside 09:00 to 18:00. No number on the DNCR is called for marketing. Every call opens with the agency's name and a recording notice.

This is the question every Dubai brokerage asks and the one no vendor should answer glibly. Cabinet Resolution 56 of 2024 regulates marketing calls: a number registered to your own company, the 09:00 to 18:00 window, screening against the Do Not Call Registry, recording with notice, and prior approval from your licensing authority. Whether a call back to a portal enquiry is a marketing call that needs prior consent, and whether the enquiry itself is that consent, turns on two parts of the resolution:

We have not found an authority that settles the consent question, and we are not going to invent one. 5. What a good first call sounds like

An illustrative script, not a transcript of a real call. It is inside the window, it names the agency, it discloses recording, and it stays on the listing the person asked about.

6. What to measure

Four numbers, defined here without benchmarks, because the honest benchmark is your own agency last month.

Time to first call

Minutes between the enquiry arriving and the first dial attempt, counted only inside the 09:00 to 18:00 window. Overnight enquiries start the clock at 09:00.

Contact rate

Share of enquiries where a conversation actually happened, not just a dial. Voicemail and busy tones do not count.

Qualification rate

Share of contacted leads that answered the six questions and met the criteria you set in advance.

Viewing-booked rate

Share of qualified leads with a viewing on a broker's calendar at the end of the call.

Measure all four before changing anything, then change one thing. The number that usually moves first is time to first call, because it is the one nobody was watching.

How fast does Lumaa call a Bayut or Property Finder lead?
Within minutes of the enquiry reaching Lumaa, provided the clock is inside the 09:00 to 18:00 window. The enquiry reaches Lumaa when you import it: you export the portal leads as a CSV or XLSX file and import that file, and Maya works the list from there. An enquiry that arrives at 11pm is queued and dialled when the window opens the next morning.
Does Lumaa integrate with Bayut or Property Finder?
No. There is no native Bayut or Property Finder API in the product, and no native CRM connector. You export the enquiries from the portal or your CRM as a CSV or XLSX file and import that file. If a directory or listicle describes a live integration, it is wrong.
Can Maya call leads at night or on Fridays?
Not outbound. Cabinet Resolution 56 of 2024 permits marketing calls only between 09:00 and 18:00, so nothing is dialled before nine or after six and an overnight enquiry waits for the window to open. Inbound is different: when a lead rings your line back, Maya answers whenever the call arrives, because answering a call placed to you is reception rather than telemarketing.
Is calling a portal enquiry legal in the UAE?
It is genuinely unsettled. It turns on two parts of Cabinet Resolution 56 of 2024: whether an enquiry submitted through a portal counts as the prior consent a marketing call needs, and the duty to screen against the Do Not Call Registry, where a DNCR registration overrides consent given earlier. We have not found an authority that settles it, so this guide sets out both readings and links to the broker calling guide rather than asserting a clean answer.
What if the lead is on the Do Not Call Registry?
Then the marketing call is not made. Every outbound list is screened against the DNCR before dialling, and a registration overrides consent the person gave earlier, including an enquiry they submitted. The number stays in your CRM for the person to contact you; it is not dialled for marketing.
Does Maya speak Arabic to Bayut leads?
Yes. Maya calls in English and Arabic and follows the language the lead uses, including switching mid-conversation. The script is approved by you before any call is placed.
What does the broker receive after the call?
The recording, the transcript, the qualification answers as structured data, and, where the lead agreed, a viewing booked into the calendar. Nothing is summarised away: the broker can listen to the whole conversation before walking into the viewing.
